Position Summary:

Under the direction and guidance of the Administrative Services Manager, the Mail Services Supervisor provides oversight of the firm’s mail management processes, procedures, and staff. This role ensures the proper management and maintenance of physical and digital filing systems, operation of office equipment, and completion of various related general office work. The Mail Services Supervisor manages the mail clerks to ensure incoming mail, or outgoing mail requests are received, scanned, classified, stored, recorded and/ or delivered according to the organizations systems and procedures while maintaining the utmost confidentiality in dealing with private, highly sensitive, information. As a means of mail team coverage or added support, you will also assist in all mail team duties to meet business demands.  

Responsibilities

  • Oversees and directs the receipt, sorting, and delivery of the organizations mail, including:
    • Receiving, screening, scanning, sorting, opening, routing, controlling, and distributing of incoming mail
  • Collecting, sorting, and distributing of internal mail, documents, files, and other material
  • Collecting, preparing, sorting, controlling, and dispatching of outgoing mail
  • Maintains scheduled mail delivery, collection services, and mail room supply inventory
  • Ensures appropriate division of labor during mail processing procedures at all times
  • Maintains proper protective control over money and other valuables or sensitive documents received or delivered through the mail system
  • Applies and enforces security procedures and practices in the preparation and dispatch of outgoing classified information and documents
  • Facilitates the resolution of mail related matters
  • Trains and evaluates the performance of mail team
  • Approves staff timecards, including paid time off; ensures mail team coverage at all times
  • Coordinates with the Administrative Services Manager to evaluate and revise procedural instructions to meet changing or expanding service requirements
  • Performs all mail team duties as required or assigned to meet deadlines

Qualifications

  • Ability to multi-task, prioritize workload, and work under pressure
  • Superior time management skills and proven ability to meet deadlines

Education and Experience:

  • 5+ years of related experience, or equivalent combination of training, education, and experience to provide necessary knowledge and abilities; prior Office Management experience a plus
  • Proficiency with Microsoft Office, various printers, scanners, and fax machines
  • High School Diploma required; AA or Bachelor's degree preferred

 

Physical Requirements:

  • Ability to lift, carry, and deliver items to onsite and offsite locations

 

Apercen is required by law to include a reasonable estimate of the compensation range for this role for those assigned and/or hired to work in for New York City Metro Area, Colorado, Washington State, and California. The salary range for all localities is $70,000 - $80,000. Individual salaries within this range are determined through a wide variety of factors including but not limited to education, experience, knowledge, certifications, skills and geography. In addition, at Apercen we offer a comprehensive benefits package that is designed to meet the changing needs of our diverse workforce and help everyone achieve and maintain their best possible physical, emotional, and financial health.
