The Apercen Partners LLC Executive Assistant is responsible for providing high-level administrative support to the FOS President including handling information requests, proactively monitoring e-mail and routing information requests, receiving visitors, arranging conference calls, scheduling meetings, and providing high-level support for FOS administrative needs.


  •  Maintains and updates FOS President’s appointment schedule including scheduling meetings, conferences, teleconferences, and travel

  • Assists with email management per direction by FOS President
  • Drafts e-mails, letters and documents; collecting and analyzing information; initiating e-mails and telecommunications
  • Organizes and prioritizes internal and external requests of FOS President’s time and resources
  • Provides task management support and drives workflow efficiencies; monitors project status and generates weekly reports
  • Deals with highly confidential issues in a discreet and respectful manner
  • Provides hospitality for clients and guests by greeting them on the telephone and answering or directing inquiries
  • Creates templates utilizing Microsoft Word, Excel, and PowerPoint for client messages, e-mails, billing and presentations
  • Supports FOS team with client materials assembly, client mail sorting, and other office support as needed
  • Processes and reconciles all expenses for FOS President on a monthly basis
  • Inputs time for FOS President and self into practice management tool
  • Assists FOS President with the management of client billing, including billing schedule, and following-up with outstanding items
  • Occasionally provides personal administrative support including scheduling personal appointments, travel, and reservations
  • Completes various special projects as required


  • 3-5+ years of applicable experience
  • Strong communication (both oral and written) with proficiency in Microsoft Office (Word, Excel, and Outlook)
  • Exceptional interpersonal skills and meticulous attention to detail
  • Ability to maintain a high level of confidentiality and sustain professionalism with internal and external clients
  • Diplomatic and discreet team player
  • Knowledge of English language including rules of composition and grammar
  • A.A. Degree or equivalent


Desired Qualifications:  

  • Bachelor’s degree from accredited college or university
  • Certified Notary
