Position Summary
We are seeking a business support professional with great organizational, writing, listening, and communication skills. The candidate will be a highly skilled individual who will work closely with one or more Partners, trust officers, and our corporate legal department. This individual will be primarily responsible for overseeing document execution and signature authority services, and other tasks in connection with various aspects of management and administration of our client’s business entities.

Responsibilities

  • Read, research, verify, and rout various correspondence and documents, including corporate formation and organizational documents, board resolutions, contracts, leases, licenses, applications, corporate filings, and relevant client information for signature
  • Collect, proofread, edit, and prepare documents requiring stakeholder review, approval, and/ or signature
  • Plan, schedule, and coordinate the review, approval, and signature of various documents
  • Manage status of all legal records, including, but not limited to, hard copy and electronic filing of documents and email, and processing files for approvals, signatures, and delivery to third parties
  • Ensure that all final documents and signatures are received timely
  • Act as liaison between senior management, clients, and vendors; answer or direct inquiries
  • Maintain an organized and secure paper and electronic filing system
  • Comply with all internal controls and processes
  • Maintain client confidence by keeping client information confidential
  • Handle other confidential tasks and participate in various special projects as required or assigned

Qualifications

  • Bachelor’s degree strongly preferred
  • Notary Public licensure preferred
  • Proven experience working as a paralegal or legal secretary preferred
  • Familiarity with industry practices, professional standards, and terminology
  • Strong oral and written communication, time management, and organization skills
  • Exceptional attention to detail, spelling, grammar, editing and proofreading abilities
  • Excellent research and analytical skills; ability to accurately interpret complex documents and policies
  • Self‐motivated with the ability to juggle multiple priorities and assignments and organize efficiently in a quickly moving environment
  • Strong interpersonal skills: ability to work with and effectively communicate across all levels of the organization while building strong professional partnerships with both internal and external clients
  • Ability to uphold highest standards of discretion and confidentiality and exercise good judgment on day‐to‐day decisions
  • Strong Microsoft Office skills a must (Outlook, Word, and Excel)
  • Familiarity and proficiency with DocuSign, preferred
  • Ability to work hours outside of general business hours, as required
